Short stays inside the condominium
From the invite to the gate, without a group chat
Guests check themselves in from their phone, with no account to create. The gatehouse gets the day’s list and clears each arrival by QR code. Everything that happened stays on the record.
Accounts are created by the condominium’s management.

Right now the information is scattered
The booking sits in an inbox, the guest’s details in a chat thread, the authorisation in the building’s group and the arrival in a notebook at the gate. When someone asks who came in on Thursday, nobody can say.

A paper logbook at the gate
With APEXA searchable history: date, time and who cleared it
How it works
Four steps, from the owner to the gate.
-
01
The booking goes in
The owner registers the stay: the unit, the dates and who the main guest is. That is the only time anyone types anything.
-
02
The guest gets a link
They fill in name, ID document and date of birth on their phone, in their own language. No account, no password, no app to install.
-
03
Entry is authorised
The QR code is valid for the length of the stay, in the condominium’s time zone. It can be resent, reissued or revoked at any moment.
-
04
The gatehouse clears it
The doorkeeper scans the code, checks the person in front of them and logs the entry. If the guest’s phone fails, there is a manual check.
Everyone sees what they need
One flow, four readings of it — because the person at the gate does not need what the building manager needs.
-
Building manager
Sets the rules for short stays, who is allowed to host and what guests get to see. Pulls the audit trail when a day has to be reconstructed.
-
Owner
Creates the stay, invites the guest, follows its status and clears early entry when a flight lands ahead of time.
-
Gatehouse
Opens the day’s panel, sees who is expected today and tomorrow, scans the QR code and logs entries and exits. All from a phone.
-
Guest
Gets the link, checks in within a minute and keeps the entry code. Wi-Fi, house rules and contacts sit on the same screen.
Your foreign guest can read the screen
The guest portal speaks Portuguese, English, Spanish, French and Italian — including what the building manager wrote about the condominium. Dates and times follow the language: read it in English and you get 3:00 PM, read it in Portuguese and you get 15:00.

Secure by design, not by promise
-
Every access is verifiable
Who cleared it, when, through which route. The audit trail does not depend on anyone remembering to write it down.
-
Each condominium is an island
Data from one condominium never crosses into another. Roles and permissions live inside a condominium, not across the platform.
-
Credentials expire
The entry code is born with an expiry date and dies at the end of the stay. Revoking is immediate, and the gatehouse sees it at once.
-
Accounts by invitation only
Nobody signs themselves up. Users are created by the condominium’s management, with a defined role.
Frequently asked questions
Do guests have to create an account or install an app?
No. They get a link with an expiry date, fill in their details in the phone’s browser and that is it. There is no password for them to forget and no app taking up space on their phone.
Does the gatehouse need a computer?
No. The gatehouse was designed for a phone: the day’s panel, the QR scan and the entry log all work on a small screen, with large buttons.
Do the QR codes expire?
They do. Each one is valid for the window of its stay, calculated in the condominium’s time zone, and the expiry is spelled out next to the code. The host can resend it, reissue it or revoke it at any time.
What if a guest turns up without the code?
The gatehouse can search by name, unit or ID document and clear the guest manually, which is also recorded. The doorkeeper can ask the host to resend the code — issuing credentials is always the host’s call.
Is this only for short stays?
Short-stay hosting is the first stage, end to end. Maintenance, assets and work orders are the next one, and the system was designed with them in mind.
